The challenge
The NGO requires health ministers and other major grant recipients to report regularly on how grants are implemented and funds are spent. That reporting relied on complex, multi-page spreadsheets, with many versions in circulation that made the latest updates hard to track.
The NGO invested in an online grant management system โ easy to use, with immediate data evaluation and clear version control. I was brought in to lead the redesign programme.
The approach
To secure adoption, I started by understanding the real problems, interviewing key recipients about their reporting process.
I directed the team to prototype early and validate the design with internal stakeholders, users and the technical Salesforce team before we built anything.
Through regular feedback sessions I led the team in iterating on the experience and keeping it aligned with engineering, running the build in an Agile rhythm so we continually validated we were delivering the right thing.
The outcome
We delivered a digital system that processes the NGO's data in real time, ending the manual sharing of grant information.
By integrating external data sources, I enabled recipients to work from prefilled data โ improving accuracy and cutting the time needed to complete complex forms.
The system folded grant reporting into the wider administration process, streamlining operations end to end.
